The Safeguard AI Deepdive Retreat is a multi-day, large event production that brought hundreds of attendees to The Broadmoor in Colorado Springs for general session programming, networking, roundtable discussions, one-on-one meetings, and over 30 interactive group experiences.
The event called for transforming the hotel’s Bartolin Hall, a 93,500-square-foot exhibit hall, into an intimate, fully functional space capable of hosting multiple event formats at the same time. The space had to accommodate all elements of the retreat while still feeling intentional and engaging, given the event space’s size.
Poor weather conditions introduced a whole new layer of challenges during the event. The closing reception and several outdoor workshops had to be moved indoors without affecting the event schedule or compromising the attendee experience.
MPG partnered with the Safeguard team to completely reimagine Bartolin Hall as a multi-purpose conference environment.
Over 17,700 square feet of carpet and extensive drapery were installed to split the exhibit hall into three distinct functional areas, supporting multiple experiences.
The transformed venue successfully hosted general sessions, one-on-one networking meetings, roundtable discussions, breakfast and lunch functions, six workshops, and a variety of group experiences.
For the General Session area, MPG built a 24′ x 24′ diamond-shaped stage accompanied by three rear projection screens, ensuring strong visibility and engagement throughout the room.
The one-on-one networking meetings were equipped with specialized production staff, four screens to display meeting prompts and timing cues, and a deployed dedicated audio system for seamless transitions throughout the program.
When the weather impacted outdoor programs, the team quickly responded by relocating indoors and still ensuring continuity for attendees and organizers.
MPG achieved the retreat’s most important goals: creating meaningful peer-to-peer connections at scale.
The event’s highlights include 650 attendees, 6,500+ prescheduled one-on-one meetings, 125 roundtable discussions, 64 group experiences, and multiple event functions operating simultaneously within a single venue.
With proactive planning, flexible production design, and on-site support, MPG created a smooth experience that allowed attendees to focus on learning, networking, and collaboration.
