When Less Production Creates a Better Event

In live event production, it’s easy to assume that more leads to better results. More, more, more of everything creates the most impact, right? Well…not exactly. What we’re seeing more often, especially across multi-day events, is a shift in the opposite direction. 

Clients are asking more thoughtful questions. What actually adds value? What helps the audience stay interested and engaged? What can be simplified without losing impact? That shift changes how events feel.

When production is in lockstep with the event’s purpose, the experience becomes clearer for everyone involved. Attendees know where to focus, speakers feel confident in the flow, and the teams managing the event aren’t navigating unnecessary complexity in real time. This is a great reason to bring your production team together early in your planning process so that all parties can be completely aligned on what the end goal and focus is.

A good example of this came at the Exchange conference, where one of the stages was positioned directly inside an active exhibit hall. It’s a common challenge; content competing with conversation, conversation usually the louder of the two, and completely distracting away from the content on the stage. The solution wasn’t to increase volume or layer in more equipment. It was to rethink the experience entirely.

The space transitioned into a silent conference format, where attendees listened through headphones while the expo continued around them. The presenters and content remained live on stage, but the listening experience became more personalized. It was a simple shift, but it changed how the space functioned. Attendees could engage fully with the sessions, and exhibitors could have conversations without fear of disruption.

That kind of decision reflects a broader approach. It shows up in how general sessions are designed, how show flow is structured, and how technical elements are used to support and not compete with the message.

Simplifying production isn’t about doing less. It’s about making better choices.
